If you are in the “publish to sharepoint workspace” task bar in any ms office document, you will see that you are able to add other supporting documents to your sharepoint site as well.
What do I mean by this?
Well say you are in excel, and you have already shared the excel document on sharepoint but now you want to add a supporting word document. Well this is really easy! It’s simply an upload menu and you add in the word document. You can even track changes on this supporting document as you would on the main excel document.
What if you need to add supporting urls to your workspace?
Well this is last button on the task bar to the right of your screen. Say for example, you need to include a website link for instructions for the project. You would simply click the “links” button in the sharepoint workspace section of the document. Next you would click “add new link.” Pretty intuitive, huh?
What happens when two of your team members download the same shared document and make changes at the same time?
Then there are what sharepoint calls “conflicts.” Sharepoint will let you know who has conflicts with your document and what time the changes were made and then it asks you how you would like to resolve your changes.
You have a few options here within sharepoint. On the right task menu, you be given options for the following: you can compare the two documents and make the right changes, or you can click on the “replace” button to replace your copy with the other copy.
If you compare the two copies, you should actually be able to see your other team member’s copy. If you are happy with the newer copy, you can select “keep workspace copy” and that will simply update the old copy with the new one.
The Benefits
The real benefits of this form of collaboration is allows team members to share project documents easily and securely. This boosts productivity and cuts down on unnecessary emails and phone calls. As a result, projects are completed faster.
