Easy Collaboration For Sharepoint

Using office 2003 and later, there is a task bar that allows you share documents. The purpose of this is simple: to publish a single file like a word doc or a spreadsheet to a sharepoint site. This will make sure that everyone will have access to this version of the document on their machine. As always, any changes that will be made on their local computer will be published to the sharepoint site. This feature will work for word, power-point, vizio, excel, and ms project.

The easiest way to do this do this to click the office button and go to publish, and then go to “create document workspace.” This will then create a blurb on the right hand side that will ask you to create the document workspace. You will also need to specify the location of the sharepoint site.

Users

Now the status task bar on the side will say that the document is up to date. To add new members, you can click the second button. To add members, all you have to do enter in the email addresses of the users. You can give them whatever permission you want to the users. You can make an email message go out to the members that have been added to the document workspace. This will then launch Microsoft outlook so you can edit the message before its send you to your collaboration team.

If you go back to the task bar in your document, you can see who from your user list is actually online right now. This is because sharepoint is tied into windows messenger.

Tasks

By clicking the button right next to “users,” you can see the tasks menu. You can easily create a task or delete a task for the team. You can create an alert in the document workspace that will actually notify when the task is started and completed.

Before you exit, please go by the “service options” menu to make sure you have all the right options checked for this document and this particular collaboration project. For example, you can configure how often you want to get updates for your document on this menu.
