Sharepoint Collaboration- how it really works
In this article I want to explain how collaboration works in Sharepoint. You see collaboration was once difficult. How would you do it in the old days? Well let’s say you need to work on a project. To get this project done, you need many team members. Who has the document template that you need to work off of? Well the first day you are busy calling and emailing team members. Jake says he doesn’t have it. Alek doesn’t have it either. Then you call Matt. He says your out of luck because he doesn’t have that particular document either. Finally, in the second day you find out that Frank has it. Frank gives you the document and you are ready to go. You work with your team members to start the project. But wait, there’s more! The project itself will create documents, excels, powerpoints etc. How do you know what’s the correct version and who has it? That’s a management full-time job in itself. Can you imagine how much time was lost in the old days?
Now here’s the thing. You don’t have to do this anymore! You are set! You can simply use sharepoint to keep track of old templates, and new documents for you!
Here’s how it works.
Sharepoint has users and tasks. When you are using a particular Microsoft product, you will see a side-pane that will allow you to add users and attach relevant documents. The document itself will connect to sharepoint to track any changes that the users are doing.
Integration
What if you, the manager are viewing a document and you need to ask someone a question? Well you can simply you use the handy chat feature on the side pane. This is linked with MSN chat.
Another way to talk to the users is to assign them tasks. For example, you can tell Alek that he needs to redo a specific document if he missed something. Once you assign him a task, he will receive an automatic email notification straight to his inbox.
